Webinar Privacy Policy
Privacy policy on the protection of personal data in relation to the registration and participation to the SECURED Webinar.
1. Introduction
This privacy policy provides information about the collection and processing of participants’ personal data associated with the webinar of the SECURED Project. All personal data related to this event will be processed in accordance with the EU General Data Protection Regulation 2016/679.
2. Data controller
Industrial Systems Institute (ISI) is the data controller of all the above personal information collected from you and used for the purposes explicitly identified above as Industrial Systems Institute (ISI) is the organizer of the event. Industrial Systems Institute (ISI) is an independent non-profit organisation, under the auspices of the General Secretariat for Research & Technology (GSRT) of the Greek Ministry of Development, registered in Greece with offices at Patras Science Park building, Platani, PATRAS, Greece, 26504.

3. Legal basis for the collection and processing of personal data
Under the General Data Protection Regulation (GDPR), the lawful base we rely on for processing these information is your Consent. You are able to withdraw your consent at any time. You can do this by contacting the data controller representative mentioned above.
4. Purpose for the collection and processing of personal data
Personal data will be collected for the registration of the participants to the SECURED webinar.
We will process the personal data collected only for the predefined purposes regarding this webinar which are:
- Communicate with participants regarding the webinar and associated topics and grant them entry to the webinar.
- Track attendance and active participation during the webinar.
- Evaluate the webinar’s effectiveness.
- Handle post-event communication.
- Dissemination purposes of the project.
5. Sources and content of personal data
If you register to attend the SECURED webinar, we will collect the following personal data:
- Name and surname
- email address
- Organization
- Images of groups of participants and organizers as captured by the web teleconference platform.
- Chat messages and Q&A interactions
Providing this information is necessary for your registration and access to the webinar and/or sending us your feedback.
We would also like to inform you that the webinar will be recorded and that the recording and the associated chat will be stored for use of the SECURED project. We may publish such recordings on the SECURED website and other SECURED social channels (Facebook, X, LinkedIn and YouTube). The platform used for the webinar will provide a notification on when the recording starts and stops.
By signing the registration form you give us your consent to record your activity in case you use your web camera and microphone.
6. Storing and use of personal data
Data controller will collect and use the above-mentioned personal information only to the extent necessary for organizational purposes, to provide you with information about the event (before, during and after), and process your application to participate.
Data controller securely stores your data at its servers at the address mentioned in section 2, using a range of security measures including restricted access through approvals and passwords. Only a limited number of persons will have access rights to your personal data and they are required to keep your information confidential.
We will use the information you provide only for the purposes mentioned above and we will not sell, rent or pass your information to others without your consent.
Under certain conditions outlined in law, we may disclose your information to third parties, (such as the European Anti-Fraud Office, the Court of Auditors, or law enforcement authorities) if it is necessary and proportionate for lawful, specific purposes.
7. Personal Data Retention
Your personal data will be retained for no longer than necessary for the purposes mentioned above and in any case no longer than the end of the SECURED project (December 31st 2025.)
Once this time period has expired, we will delete your data by erasing them from our servers.
Chat and Q&A interactions will be anonymized where possible.
Subject’s Data Protection Rights
If you wish to exercise any of your rights regarding your personal data kept by data controllers, please contact us via email at artelaris@isi.gr.
The rights regarding your personal data are the following:
Access: you can request access to your Personal Data;
Rectification: you may ask the controllers to correct your Personal Data that is inaccurate or incomplete;
Objection: where the Processing of your Personal Data is based on legitimate interests, you have the right to object to the Processing of your Personal Data and thereby request the cessation of processing operations.
Deletion: you may ask the controllers to delete your Personal Data when one of the following reasons applies:
- Personal Data is no longer necessary in relation to the purposes for which it was collected or otherwise processed;
- You withdraw the consent on which the processing is based and when there is no other legal basis for the processing;
- Personal Data has been unlawfully processed;
- Personal Data must be deleted in order to comply with a legal obligation
Restriction: you may ask the controllers to restrict how they processes your Personal Data where one of the following applies:
- You contest the accuracy of your Personal Data, for a period of time that allows the controllers to verify the accuracy of your Personal Data. The processing is unlawful and you object to the deletion of the Personal Data and request instead the restriction of their use.
- The controllers no longer need Personal Data for the purposes of processing, but you need these data for the establishment, exercise or support of legal claims.
Portability: you may request the controllers to transfer the Personal Data you have provided to us to another organization and/or request to receive your Personal Data in a structured, commonly used and machine-readable format.
Withdrawal of consent: You may, at any time, revoke the consent you have provided to the processing of your Personal Data.
If you want us to delete your personal data from our internal repositories at any point in time after you have given your consent, please contact us and we will do so within ten working days upon receipt of your request or the latest correspondence with you about your request. That does not affect the legitimacy of the collection and processing of your personal data, until the time of your withdrawal.
You have the right to lodge a complaint with a supervisory authority in case you believe your data have not being used according to this privacy policy.
